Hearst Elementary School PTA E-Board Meeting Nov. 1, 2017 Amanda Provost, Jen Thomas, Heather Rothman, Jolyon Bowman, Charles Greene, Jeremy Evans, Ashley Boyle 4:32pm 1) Finance update including Owl Fund results and Reserve Fund discussion: Owl fund - more than 70 percent. $67K so far. We will get more than that b/c of recurring donations. Should be in excess of $70K. Last year was 58 percent participation. This year 4 classes greater than 70 percent. Jeremy - talking about what the PTA uses the money for has been great. Example - Lexia. $2K to each teacher. Tangible things that help parents connect the dots. E-cycle - expenses $899. Income so far $928 - gear, bake sale. Should get a check from e-cycle for $500-$1000. Jolyon- next year we don't have a shredding truck unless they donate the truck. We currently pay for the truck. Reserve fund discussion - Mary ONeill came to the reserve fund meeting. Nothing fixed in terms of reserve amounts. We have latitude to decide. Something to consider -KTLO - Keep the Lights On fund. If we had no money coming in, what would we want to fundclassroom software yes, food at PTA mtg, no. Perhaps put some in a money market account. We started this year with $130K. We spend a lot in the beginning of the year. Now we have $150K through end of Oct. We will need money at beginning of the year for initial expenses. Jeremy and Skip to meet with Jen and then come back to the board with more information. 2) PTA meeting next week: Jen - talk about grading. Coherent grading policy across the school. Report cards come out on the 9th. We are now normed as a staff as to how we report grades. More kids with 2s and 3s now. Should change/increase as we move over the course of the year toward meeting end-of-year expectations. Amanda waiting to hear if developers of the Fannie Mae/Freddie Mac project will come.
1st grade will do a presentation on oceans and continents. Auction - Christina will give an update at the PTA meeting next week. Wine Parties are Jan. 6 at the Long house and Feb. 10 at the Levine house. For the main auction, the decision remains down to Washington Hebrew Congregation and UDC. Other PTA meeting agenda items: Childcare arrangements Catering - need a finger food option. Soapstone as a possibility. Parking on site. 2) Traffic congestion/safety in front of school - taskforce Julie Hantman is taking this on. Will discuss at PTA meeting Speed bumps and tables, etc. 4) Events (Jolyon) -Holiday luncheon chair(s) and volunteers- Still searching for this. -Happy hours - early December for a happy hour. Mr. Levin is looking for a spot for a teacher one. Maybe a gender-based one in the spring. Pre-auction. -Politics & Prose Jan 28th - need a volunteer to man a table there for the teachers' wish lists. Parents can buy the books and donate them. Jami Schell will spearhead it all. Need some volunteers. 10am to 8pm. Need to say you're with Hearst when you buy books. -Movie Night January 26th. Have babysitting. Pre-sell it so we know how many babysitters. Pizza and movie. $20 per kid for four hours. 6-10pm. $20 per kid. Ms. Boyle plus three other teachers each will earn $125 each. (double check with Skip). Find Jolyon on the playground to pay. Capped at 60 kids. Hearst and pottytrained siblings no younger than three. Wizards - check in with Judy. Other community dining?
