2016 Greeley Stampede Concessionaire/Vendor Rules and Regulations These Rules and Regulations governing the Stampede (Event) are provided to advise Exhibitors/Vendors of their rights, restrictions and requirements.

Space Agreement Every concession or commercial exhibitor participating in the Event must have a signed space agreement. The signed agreement is the only document that guarantees a space on the festival grounds. The space agreement must be signed by the participant and by an authorized represented of the Stampede prior to participation in the Event. Upon execution of the space agreement, it is the responsibility of each individual or business to abide by all the terms and conditions of the Space Agreement and these Rules and Regulations. Failure to comply may constitute grounds for termination of the space agreement and may result in forfeiture of all payments, rights and privileges of the individual or business. The Stampede retains final decision on space assignments and reserves the right to adjust charges if justified. Space agreements are for the current event only and do not carry over from year to year. Only those products or services that are listed in the Space Agreement may be promoted, sold or displayed. If a request to sell or promote certain items on the application is not reflected on the Space Agreement, those items or activities were not approved. Any changes in the availability of items for sale, the purpose or activity, or a change in the amount of space must receive approval from the Greeley Stampede before the change can be instituted and must be included in a written amendment to the Space Agreement. Should participants fail to submit required documents and fees, as stated in the Space Agreement or these Rules and Regulations, the Stampede reserves the right to cancel the Space Agreement. Payment Schedule Payment should accompany the return of your signed Space Agreement. Payment must be made by the due date or the Space Agreement may be withdrawn. Payments are not accepted prior to the issuance of a Space Agreement and will be returned. If the Space Agreement allows a partial payment option, any partial payment options will be listed in the Space Agreement. The payments are due according to the specified dates on the Space Agreement. Any service or utility fees not included in the Space Agreement are due upon receipt of a bill. Failure to make payments at the proper time may result in immediate cancellation of the Space Agreement. All payments for space fees must be made with cash, check, or credit card. Checks will not be accepted after June 1, 2016. All Space Agreements must be paid in full prior to opening of business on the first day of the Event. If the concessionaire or exhibitor has not paid in full and opens for business, the Stampede has the right to close the booth until full payment is made or cancel the Space Agreement without further notice and have the concessionaire or exhibitor immediately remove merchandise/equipment from the Event. Failure to pay all fees associated with the Space Agreement may result in the concessionaire or commercial exhibitor being permanently banned from doing business with the Stampede. 3
Cancellations and Refunds A concessionaire or exhibitor desiring to cancel a Space Agreement must notify the Stampede in writing or by email stating the reason for cancellation. Phone calls are not an acceptable method to cancel a space, it must be in writing or by email. Written notice of cancellation received by the Event from concessionaire of exhibitor after payment of fees are received, refunds are as follows:

Before April 30th: 50% of fees paid will be refunded On or after April 30th: no refund or fees paid.
All refunds will be mailed within 90 days of the approval date of your request.
Conduct All vendors and their staff are expected to be familiar with this manual regarding the rules and regulations of the Greeley Independence Stampede. Discourtesy of Stampede Staff, volunteers or the general public will not be tolerated and could result in dismissal from the Event. Any situation that requires the attention of Event representatives will be documented as an incident and placed in the vendor’s files. Subleasing Concessionaires and exhibitors shall not sublease any portion of the services to be performed under the Space Agreement. Subleasing consists of: * *
Allowing another person or company to display or sell from the assigned space. Exhibiting, selling, or distributing literature or product for any other entity other than the assigned concessionaire or exhibitor.
Upon request by the Stampede, concessionaire or exhibitor agrees to provide paperwork showing legal ownership of company providing services under the Space Agreement. Noncompliance In the event that the Greeley Stampede determines an infraction of the Stampede policies outlined in the Space Agreement or these Rules and Regulations has occurred, penalties will be assessed according to the following schedule. * * *
First violation: Written warning or citation Second Violation: $200.00fine Third Violation: Agreement termination and eviction, and/or future participation privileges revoked.

All infractions will be documented and become a permanent record in the concessionaire or exhibitor file. Violations do not have to be of the same nature for this step structure to apply. It will be the responsibility of the concessionaire and exhibitor to make their employees aware of the rules and policies required.
Insurance Indemnification - Insurance: Concessionaire/vendor agrees to defend and indemnify and hold harmless the Stampede from any loss, damage, claim, suit, action or other liability, including, without limitation, court costs and attorney fees, arising from or relating to any act or omission, whether intentional or negligent, or concessionaire/vendor, concessionaire/vendor' s agents, guests or invitees, or third parties. Concessionaire/ vendor shall carry a general public liability insurance policy with a limit of $1,000,000 for bodily injury and death per occurrence and $1,000,000 for property damage and it must be provided to the Stampede via mail or email. Vendors that do not wish to provide their own insurance may opt to be covered under the Stampede for a cost of one hundred and fifty dollars ($150.00). Coverage will be given for the entire duration of the event. Concessionaire/vendor, for itself, its heirs, successors, and assigns, hereby releases/waives any and all claims, damages or losses arising from or relating to the acts or omissions, whether intentional or negligent of third parties or an act of God. Mobility Devices Vendors agree to NOT use Segway’s, skateboards, scooters, bikes, automobiles, or any other form of mobility device, motorized or not, on the event grounds while the park is open to the public without prior written consent from the Greeley Stampede. If a vendor requires a mobility device, notice must be given to the Greeley Stampede office at the time the Vendor Agreement is signed and a permit will be issued and this permit will need to be displayed at all times on the device. Failure to display this permit will make the vendor noncompliant and the noncompliant policies will be enforced. Wheelchairs, electric or manual, do not require a permit or written authorization.

Credentials and Parking Advanced purchases of credentials must be made in conjunction with the Space Agreement. Two (2) General Admission Season Passes are included with your booth space per 10 ft. of frontage purchased. Additional daily passes may be purchased for three dollars ($3.00) per day. Event parking passes will be available for purchase in conjunction with the Space Agreement. One parking pass will be included per 10 ft. of frontage purchased. Passes will be fifty dollars ($50.00) if purchased prior to June 1. After June 1passes will be available for purchase at the Event at a cost of seventy five dollars ($75 .00). Exhibitors interested in purchasing an RV spot for the duration of the Event may do so in conjunction with the Space Agreement at a cost of three hundred and fifty dollars ($350.00). RV Space will include water and electricity hookups. RV Space location will be determined by the Stampede.
Electrical Services Exhibitors requiring electrical will have the option to purchase such in conjunction with the Space Agreement. One (1) 110v 20 amp will be included in the Space Agreement, additional (1) 110v 20 amp options will be available for purchase at a cost of one hundred dollars ($100.00). A larger option of a 220v 50 amp hook-up will be available for purchase at a cost of one hundred and fifty dollars ($ 150.00). *All electrical services will be shut off at 12:00pm (noon), July 5th, 2 0 1 6 .
Signage Only professionally painted signs are allowed. No hand painted signs will be permitted. Signs must be professional in appearance, be proportional to the booth size and be located with the confines of the contracted space. Event reserves the right to determine the appropriateness of all signage appearance and size.
Booth Standards All exhibits must remain intact and staffed during the hours the Event designates in these rules and regulations. Vendors and their staff must conduct all business within the assigned space, there are no exceptions.

Any special carpentry, wiring, telephone, gas, steam, water or drainage connections shall be arranged and installed by the concessionaire/vendor at their expense with permission from the Stampede. Concessionaire/vendor, at their own expense, must drape, cover or remove unsightly structures if exposed to public view. Concessionaires shall purchase all beverages from The Greeley Stampede. Concessionaires/vendors shall purchase all ice from The Greeley Stampede. Concessionaires shall mask any products not available on signs and units. This shall be done in an attractive manner. Concessionaires will be required to cover or fence (5' full coverage) work area behind booth. Uniforms or matching shirts are encouraged to create a professional appearance.
Move In Move in dates and times will be assigned three weeks prior to event. This information will be emailed to all vendors with an accepted Vendor Agreement. All labor, materials and equipment necessary for setting up or removing exhibits shall be supplied by the concessionaire/vendor. Concessionaire/vendor are to have their booth set up and ready 2 hours prior to Event opening, otherwise the space will be declared forfeited and may be reassigned. Move Out Schedule and Procedures Move out will begin at 9:00pm on Monday July 4, 2016. Vendors may not begin to take down their booths until that time. Vendors may also continue to move out on Tuesday, July 5, 2016 from 8:00am - 8:00pm. *All electrical services will be shut off at 12:00pm (noon), July 5th, 2 0 1 6 Restocking Access to exhibits will only be allowed prior to one hour before the Event opens and after the Event closes each day. Vehicles will not be allowed adjacent to space within one (1) hour prior to Event opening until one (1) hour after Event closing.
Deliveries The Stampede is not responsible to concessionaire/vendor for the receipt of any parcel delivery. 9
Security The Greeley Stampede will provide 24 hour roaming security through the duration of the event. The Greeley Stampede is not responsible for any lost or stolen items.
Graphic Use The cowboy figure known as "The Top Hand" is used by the Greeley Stampede Committee as its logo and is registered property of the Committee. Neither the logo nor the name "Greeley Stampede" shall be produced on items for sale. Royalty rights for such usage may be awarded under separate contracts.
Taxation and Revenue Department Concessionaire/vendor is required to pay any and all taxes due and payable to the State of Colorado and the City of Greeley while operating a concession booth at the Greeley Stampede.
