Item III: Charge of the Committee per David Crippens Key Consideration Chini Johnson-Taylor explains the charge of the committee. o Chini Johnson-Taylor states that the committee’s goal is to expand the amount of scholarships awarded. o Chini Johnson-Taylor states that the committee will be looking at how to increase funds, start the conversation about fundraising, how to disburse scholarships, examining scholarships at the college and foundation. o Chini Johnson-Taylor states the committee will document the entire scholarship program. Chini Johnson-Taylor states that scholarships should not go out 2 months after the start of the semester. Chini Johnson-Taylor states that equity is one of the charges of the scholarship committee. Deborah Campbell states that issue of equity is hashed out at the campus scholarship committee. Deborah Campbell states that the college and foundation scholarship committees meeting together would be a good idea. Darlene Kuba states that departments should get involved in the discussion also. Deborah Campbell states that every department has a community advisory committee. Darlene Kuba states that those people need to be tied in also. Chini Johnson-Taylor states that the foundation should fund the industry advisory committee breakfast. Action Taken: No action required.

Item IV: Exploration of the Overall Scholarship and Aid Environment Key Consideration Darlene Kuba asks Deborah Campbell about the Kaiser scholarships, and if there is an easier more seamless way to administer the scholarships. Deborah Campbell explains the issue that happened last semester in regards to the Kaiser scholarships. o Deborah Campbell states that students in the campus DEC system were labeled as nursing students but were not yet in the nursing program received the scholarship. o Deborah Campbell states that there has been long conversations about changes to how students are selected with the webmaster Patrick Reed. o Deborah Campbell states that the question can be better answered in April. Abby Arnold states that she has been speaking to and working with Deborah Campbell on the issue since November. The solution was that Patrick Reed has made changes to the online application system to prevent the issue. Chini Johnson-Taylor asks Deborah Campbell how students would apply for other scholarships. Deborah Campbell states that in the same application, students can qualify for other scholarships if they are not targeted scholarships or the student meets the criteria. Abby Arnold explains the online application system. Darlene Kuba requests a flowchart of the nursing application. Abby Arnold states that financial aid verifies the students’ information and that the issue was that they are listed as nursing in the computer but they’re not in the nursing program. Deborah Campbell states that the students are liberal arts natural sciences students. Deborah Campbell states that it was the wrong label and the issue has been resolved by Patrick Reed fixing the application system. Deborah Campbell states that she is satisfied with how the flowchart is organized to prevent the issue. Darlene Kuba states that she wants a list of all scholarships given out last semester. Abby Arnold states that Patrick Reed would have an up to date list and it is up to him how he spends his limited time with accreditation going on. Chini Johnson-Taylor states that she understands and to shoot for having the list by March 1st. Darlene Kuba states that the Letter from Edison states, “...year end report of all people who benefited…” which would encompass everything that Chini Johnson-Taylor said in the email. Abby Arnold states that she is happy to disburse the funds with written instruction from the donor or representative if it is not aligned with one of our programs. Darlene Kuba states that she and Chini Johnson-Taylor will re-evaluate scholarship criteria at the next scholarship committee meeting. Chini Johnson-Taylor asks how scholarship Q1-Q4 are evaluated because the answers can be subjective. Abby Arnold states that students remain anonymous to the volunteer essay scorers, (board members, faculty receiving flex credit, and donors) as they score in batches of 10. Darlene Kuba asks what happens if a person does not have good writing skills. Darlene Kuba states that she wants to see the applicant and read their body language. Chini Johnson-Taylor asks how the application is scored. Abby states that the only part the application that is scored by volunteers is the essay portion. Abby Arnold states that there is not a capacity to have intimate talk with 300-500 applicants. Darlene Kuba states that some people cannot write well and you lose the personal touch. Deborah Campbell states that the pool of students who apply for scholarships is too large for an interview process. Abby Arnold states that this is a change from paper applications where students have to go retrieve all the pieces of their application. The change’s purpose is to reduce the burden on the student to make the process more accessible. Deborah Campbell states that the interviewing could possibly be reserved for the higher dollar scholarships which are $1000 and above. Chini Johnson-Taylor states that in regards to equity, the scoring system puts more weight on full time students and students who have been enrolled longer. Abby states that the scholarship requirements were agreed upon by the campus scholarship committee. Chini Johnson-Taylor asks why the score sheet is on foundation letterhead. Abby Arnold states that the information was submitted to a funder. Deborah Campbell states that the nursing students must be full time and must take a full load over two full years. Item V: Scholarship Website Key Consideration Chini Johnson-Taylor asks how students will know to apply for scholarships. Abby Arnold states that they know on Moodle. Deborah Campbell states that getting Patrick to put a banner on the home page of the school website has been an issue. Abby Arnold states that she can’t tell Patrick Reed what to do. Chini Johnson-Taylor states that a banner and scholarship list could be displayed on the foundation website. Chini Johnson-Taylor states that she is disappointed that there is no laptop setup to display the website in the meeting. Action Taken: No action required. Item VI: Next Steps Key Consideration Chini Johnson-Taylor states that the dialogue has started. Chini Johnson Taylor states that the foundation scholarship committee will meet with the college scholarship committee. Abby Arnold goes over her tasks from the meeting. Chini Johnson-Taylor states that the funds from the dinner for scholarships need to go out. Abby Arnold states that scholarship agreement forms must be filled out when funds are directed to specific uses outside of our regular programs. Action Taken: No action required.
