MATTERS ARISING October 2016 Chairman of Greens Alan is obtaining quotes to erect a permanent half way house which will have a concrete base and will be maintenance free at the back of the 9th green for special events. ACTION: ALAN BATES - to obtain quotes. ACTION: On Going November ACTION: Ask Russ Conway to put a proposal at the AGM to use Development Fund. House License A personal licence training course is due to take place on Tuesday 1st November at a cost of £120 + VAT per person. Should consideration be given to sending a member(s) of the House Staff? Pat asked if it would be a good idea for another member of staff to hold a license as well as John Northover and thought Asia might be interested in the training course to be held in Bridport. Bob commented that we might need to look at staff contracts regarding time limits on employment after receiving any qualifications paid for by the Club as in the past we have had staff leave as soon as they had acquired their qualification. 2 December 14.3 Alan Roberts felt that the Dorset Echo wasn't receiving enough publicity regarding results. Other clubs seem to get all the results in the Echo. ACTION: BOB MICO - to speak to Elaine Rockingham. ACTION: Bob Mico to ask Elaine Rockingham to put together a template for each of the golf club sections. They will then provide Elaine with the basic information needed for her report. ACTION: Bob Mico to ask Russ Conway and Elaine Rockingham to put together a template. 14.4 Des asked the committee if they knew what was happening with the Wessex. Bob advised that Luke Mansell was going to look into this but nothing had been done as far as he knew. ACTION: BOB MICO - to take the matter to the Board. John Northover and Colin Huckle have had a meeting with the Wessex Golf Centre. Gerry O’Connell has now asked Russ Conway to take this on as a project. ACTION: On Going January 2017 November 2016 a) Sally Davis asked if we have received the certificate to run 9 hole golf. ACTION: Des Lochrie had received the certificate and will arrange the 9 hole golf. ACTION: On Going. Des Lochrie is currently waiting to hear from Club Systems. b) Alan Roberts asked if the Seniors results could be put on the screen in the clubhouse. ACTION: Bob Mico to ask Gerry O’Connell. CAPTAIN’S REPORT – Bob Mico
First, I would like to wish you all a happy, healthy and wealthy 2017. With reference to the letter from a member regarding the danger and difficulty of crossing the road at the top of Radipole Lane, I asked Colin Huckle to enquire with the Council regarding having an appropriate sign installed. He was informed that DDC, who are in control of such things, is actually looking into reducing the number of signs on the County’s roads and would not wish to add any more to them. There is a possibility they might have the word ‘SLOW’ painted on the road but that is all. We have therefore taken it upon ourselves to have a sign printed warning of the crossing to be placed half way up the hill on our own land and hope that this will go some way to relieving the situation. The Seniors’ Christmas Lunch was as always well supported and a great success. Not too many injuries this year! Well done Seniors’ Section. The Christmas Staff Meal also went well but with one or two injuries (not serious) due to much Christmas spirit. I understand the New Year’s Eve festivities were up to their usual high standard. Many thanks to Asia and Steve, all staff involved plus volunteers. Unfortunately my group had to pull out at the last minute
3 due to a broken wrist, a broken toe and a bad back but luckily there was a reserve list so all those wishing to go managed to get in. The Club notice boards have now been updated, including the Ladies’ Section. Well played all the winners for 2016. On the golfing front, the course is still holding up well. Well done to the Greens’ staff for another excellent year’s work. A personal thanks also to Des and his team and John and Nikki in the Office for all their support throughout the year. Hope you all enjoy your golf in 2017. 5.

SENIORS CAPTAIN’S REPORT – Alan Roberts
Seniors Christmas Lunch was a complete success, thanks to the bar and catering staff plus the office and helpers the table layout. The Winter League has had 2 weather problems, (Came Down away fogged off after 5 holes and Bramshaw waterlogged). We lost at home o Knighton Heath but beat Barton on Sea at home. This Winter League has been difficult to organise and every match has had problems. Peter Harper and I are joint organisers, but at our AGM (my last as Captain) I will not be involved after this inter with the league and will recommend we drop out. Len Harris has been proposed as this year’s Senior Captain and Jim Sinclair his Vice Captain. The Seniors AGM is on Wednesday February 22nd 2017. Long Sutton and Dudsbury have been added to our Fixture List. Entry forms for the Spring Open and the Whisky Scramble have been emailed to clubs and individuals who have supported us before. The Seniors would like to thank Paul Travess for covering today in the kitchen, with the sudden bereavement of the Chef’s father. 7.
LADY CAPTAIN’S REPORT – Sally Davis
It has been a quiet month and we held our Christmas Fayre and Christmas meal and a letter has been sent to Catering and Bar staff thanking them for a lovely evening. Two new ladies have joined the club and they are having their Ladies’ Section inductions this coming week with Caroline and me. The Ladies Christmas Raffle was held on 20th December and the winners were Caroline Tapster who won the champagne and chocolate hamper, Julie Hacket who won the pamper hamper and Mick Woodham who won the whiskey hamper. The raffle raised £315. The Christmas card tree raised £108. Thank you to everyone who contributed to this fantastic result.

CHAIRMAN OF COMPETITIONS REPORT OCTOBER – Graham Vile
A number of Xmas Competitions have taken place during December; these have been a mixture of Stablefords, Bowmakers, and 4BBB. As is often the case at this time of year entries are heavily influenced by the weather conditions. The Festive Scramble, despite some difficulties with the weather was well received and the feedback from those that took part was generally positive, and the majority seemed to enjoy and appreciate the Shotgun start. Hardy A and Hardy B fixtures, unlike last year when with Nikki’s support I agreed the dates of all Hardy league matches avoiding any clashes with Club Competitions. This year the Captains decided to arrange matches themselves, although I don’t have a list of the Hardy A fixtures the ones I am aware of and some of the Hardy B fixtures do clash with Club Comps. We have tried to rearrange these matches but with little success. The position of Chair of Comps is not empowered to take away the right of the respective Captains to arrange matches. However should we consider changing this so that we can try to ensure clashes with Club Comps are avoided in the future? ACTION: The Committee agreed future Hardy A & B matches will be agreed by Graham Vile and Nicola. ACTION: Bob Mico to send a letter to the Hardy A & B Captains to inform them of this. Society Bookings. – Is it the role of this committee or the Board to review and offer guidance on this subject? What constitutes a Society? Are all times/days open for Society’s? The reason I ask this is that on both Saturday 13th May and Saturday 1st July one of which is a Tankard and the other the Beets Hambro Comp, It means that members only have 9 tee times available to play social golf and on both Saturdays 3 of these times have been given up to a society, leaving only 6 tee times for members. The fact that it is only 3 tee times suggest that each “society” has no more than 12 members, is this enough to constitute society status? (Our own in house roll up groups/society’s need 16 members?) I would point out that I am in no way criticizing anyone for taking these bookings, but wonder if we should consider our future approach? Rule Changes. – Rule 56 states that “when a junior is drawn to play an Adult in a singles match, the junior is responsible for organising another suitable Adult to accompany the match” This rule applies to Matchplay Comps only and supports Club policy. However rule 57 which applies to Strokeplay Events has nothing included, therefore I recommend rule 57 be amended to include a statement which supports Club Policy on this matter.
5 ACTION: Bob Mico to ask Gerry O’Connell to word the change of Rules. Des and I are looking at people’s handicaps as part of the annual review. Those who are affected by these changes will be informed in due course. It was asked if a 17 junior can play a round of golf with an 18 on their own, due to the Child Protection Policy. ACTION: Sally Davis to contact the County Golf Union about juniors and casual golf. 9.
CHAIRMAN OF GREEN REPORT– Alan Bates
Busy this week with a few more jobs ticked off the to do list. A new fence has been erected at the 12th alongside the industrial units. Made of half round timber posts and stock wire this has been put up to discourage a trespasser from exercising his dog on the course. Agra block pavers have been installed at path ends on 6, 10 and 11. Ben has been using the Tractor and Verti-drain fitted with micro tines to aerate the greens The new gates are finished and are currently getting their third coat of paint. They should be ready to hang next Tuesday. Tees were cut Tuesday and Greens cut on Wednesday. 10.
CHAIRMAN OF HOUSE REPORT – Pat Crane
House Music System The music system (ipod) previously ordered is unfortunately out of stock. A more expensive item is available. (appr £200) ACTION: Pat Crane to check our music licence Lift All repairs have been carried out and left in working order. However, the engineer has intimated that in future replacement parts may be difficult to obtain especially the control panel. Men’s Locker Room Unfortunately the verbal quotes received would seem to be excessive and I would put forward myself to carry out the work at cost. Handrails Still the weather is not suitable to complete the sealing of the joints. Dance Floor A temporary repair has been carried out, pending a refurbishment upstairs. Buggy Shed Prices for the removal of the central steel pillar and replace it with beams have been placed on hold, until a price for a new roof has been received.
6 Staff Christmas Meal It was a great success and enjoyed by all. Refurbishment I am currently receiving prices for the refurbishment of the bar and restaurant. Refuse The current refuse contract with Suez (Sita) is currently under review and alternative quotes are being sought. Staff Golf Entitlement to discounted golf for members of staff is currently under review and will be discussed at Board level. Members Cards It would appear that Staff Members are abusing staff limit and I would suggest that all staff cards should remain in credit by the end of each week. ACTION: Pat Crane and Bob Mico to bring up at the next Board Meeting. An email to be sent to all members in regards to their credit card balances. 11.

Social Events Pat Crane mentioned the Valentines Dinner Menu has now been produced and posters have gone up. Quiz Nights are currently going well. Steve Findlay has increased the price of the Carvery and is currently changing the menus. I have booked the clubhouse for a Christmas Dinner/Dance on Saturday 16th December. Neil Wale has offered his services for a fun evening. It was suggested putting this on the evening of Ward Cup on Saturday 25th February. I am currently receiving quotes regarding the refurbishment of the clubhouse, to be agreed at the next Finance Meeting. a) Sally Davis asked if the Blue Tablecloth could be cleaned. ACTION: It was agreed and the money to be taken out of the Competitions Fund. b) The Carpet Barn has now been taken over by Bridport golf Club. Gerry Hayes has offered to run it for Weymouth Golf Club. ACTION: Nicola to confirm that we wish to participate. c) Des Lochrie and Graham Vile are looking at handicaps and cutting them for Social Golf.
7 d) Sally Davis asked if the mat on the 8th tee which Ladies play off in the winter can have the mat moved to the front of the tee. The Committee agreed that as the tee required repairs this could not be done at the moment. e) Alan Roberts mentioned that a couple of clubs allow seniors to hire buggies at club prices in their competitions. The Golf Committee agreed all buggies are at a full price of £21 visitors and £16 members. f) Des Lochrie handed out a copy of the Rules and asked the Golf Committee if anything needed to be added before the next score cards are printed. g) Sally Davis mentioned that the new website should go live on the 30th January 2017. h) Graham Vile asked if everyone could monitor slow plan. Any ideas to increase the speed of play on the course should be brought to the next meeting, etc. Course Marshalls, new signs.. There being no further business the Captain closed the meeting at 8.00pm. The date of the next meeting will be in February and you will be notified when the Board has decided on the date of their next meeting in February.
